Downloading Transcripts

Transcripts, sometimes referred to as Statement of Marks or even Report cards, are an inventory of the courses taken and grades earned of a student throughout a program. There are official transcripts, which need to be printed by an administrator, and unofficial transcripts that can be generated and printed by the student themselves.

Transcripts can be customized to include your organization's logo and address information. They can also include a signature line for organizations that want to sign official transcripts, the learner's ID number, the date the program was started or completed, and a due date (for courses with an expiration date that need to be retaken). The development and customization of transcripts is generally done by Dual Code during the onboarding of your organization and implementation of your system, but can be done at a later time. Additional fees may apply.

Step-by-step Guide

To download a copy of the transcripts for learners as a Course Creator or System Administrator:

  1. Go to Site Administration > Reports > Transcripts
  2. Select a program from the list and/or specify a user (first name or last name)
  3. Click on the "Filter" button
  4. Click on the "Download / Print" link next to the transcript in question.

Important Notes

  • If you do not specify a user, the download / print link will print all transcripts for the program in question, including the transcript for suspended (inactive) users. If you specify a user, the link will only display the report for the user(s) in question.
  • When downloading all transcripts as per the bullet point above, the system will download all the latest transcripts. In other words, if a learner has multiple learning records for the same program, only the more recent transcript for that user will be available
    • The learner on the other hand can download any transcript they want via their Learning History report.
  • When downloaded by a learner from their Learning History report, the transcript is called a "Statement of Marks" and a footnote indicates that it is not an official transcript. This is to differentiate between a transcript printed by an administrator and one printed by a learner.
  • A learner may have multiple transcripts if they have multiple learning records for the same program. The transcript is specific to the courses that were included in the program at the time the learning record was issued.
