Asking Learners to Retake a Course

You may from time-to-time modify a course and then want your learners to re-take that course. This could be because you've added an activity to the course, or perhaps because you've modified an existing activity. Once you're done, you will in all likelihood want to inform people that the course has changed. Perhaps your organization will required that learners get recertified (e.g. a procedure has changed and all learners must redo the course to understand the new procedure), or perhaps you simply want to let your learners know that there is newer content available and reviewing the new material is at their discretion.

Step-by-step Guide

The steps to follow depend on whether or not getting re-certified is mandatory or optional. Both options are explained below.

To notify learners that an activity has been added to a course or changed

  1. Go to the activity in question
  2. Modify the activity
  3. Prior to saving the activity, enable the "Send content change notification" immediately above the save buttons (as per the screenshot below)
  4. Save the activity

The steps above will notify learners about the new content. This can be used (a) if you are adding an activity to a course or (b) if you are modifying an activity already in the course. Only users who can access the activity will be notified. In other words, if an activity is restricted to a subset of learners, only those learners will be notified.

IMPORTANT NOTE: This feature is only available in version 4.1 and above. It is not available in version 3.9.


To force users to get recertified

  1. Go to the course in question
  2. Go to Course Administration > Reset
  3. Under the "Learning Records" section, enable the "Expire learning records" field and select the date for which you want the existing learning records to expire
    1. Generally speaking, you should pick a date in the near future to allow people sufficient time to complete the course. For example, if you expire the learning records in 30 days from now, the program(s) that reference the course will notify the users telling them they have 30 days to complete the course and get re-certified.
  4. Click on the "Reset course" button

The steps above will expire everyone's learning record on the date that you specified. If the users are still assigned to a program, they will receive the usual program notifications asking them to complete the course. Users who no longer need to take the course (because they are no longer registered in a program that references the course) will not be notified since the course is no longer mandatory for them.
