Which Report Do I Use?

Find what you want to do in the tables below, then open the report listed beside it.

What you see depends on your role and, for most standard reports, your Reporting Preferences: supervisors see their direct reports or extended team, and system administrators can also see all users (Restricting the Users in my Reports).

Compliance

Start with Compliance Summary for a team-level view, and use Compliance Overview for one person's due dates.

Managing Custom Reports: sources include users, courses, cohorts, course completions, programs and notifications. Then Scheduling Reports and Giving Access to Custom Reports.

Access can be given to all users, system roles, named users or a cohort. Very large reports can slow the system. See Custom Report Basics below.

Database Schema

System administrators only. It is generated automatically, so it is always accurate.

Custom Report Basics

  • Pick one source first. Sources cannot be combined; each source lists its entities (think of them as tables), and the fields inside them become the columns you can add.

  • Conditions named “Select …”, such as Select courses or Select users, accept several values. Other fields use operators such as contains or starts with, and the same field cannot be added twice to build a condition, so there is no AND/OR between conditions.

  • Schedules run daily, daily (weekdays only), weekly, monthly or annually. Files can be CSV, Excel (.xlsx), HTML table, JSON, OpenDocument (.ods) or PDF.

  • To send only new data, add a date filter on a field such as user creation date or course completion date.

  • Reporting Preferences (direct reports or extended team) do not apply to custom reports.

  • To exclude suspended users, add the condition User > Suspended and set it to No.

  • Scheduled reports can go to anyone: choose by system role, by members of a cohort, or select users one by one. Excel files cannot be sent with filters already on.

  • Group columns together, for example by department, to summarize results.

If nothing here fits, raise a support ticket that names the closest report and what you want to see.
