Transferring a License

If you’ve purchased a course through the Open Collaboration Initiative (OCI), you can transfer the license to another user within your organization. This is helpful in cases such as staffing changes or when another individual needs access to reporting or renewal reminders. Only the current license holder can initiate a transfer — for security reasons, licenses cannot be reassigned by others. Allowing anyone to take over a license without the holder's consent would pose a risk of unauthorized access or misuse.

Step-by-step Guide

  1. Navigate to the course in question.

  2. In the left-hand menu, click Course Administration > License Management.

  3. In the Actions column, click Transfer License.

  4. Enter the username of the user you wish to transfer the license to.

    • This is often the user's email address, but may differ if you're using Dual Code’s Workplace learning environment.

    • The user must already have an account on the system. If they don’t, ask them to visit the course’s enrollment page. They don’t need to enroll—just accessing the page will create their account.

  5. Click the Transfer button to complete the process.

The user you are transferring the license to must accept the transfer before it takes effect. They have 7 days to accept it. If they do not, the license will automatically revert back to you. While the transfer is pending, you will continue to have access to the reports and will still receive reminder emails related to the license. Once the transfer is accepted, you will lose access to all reporting and will no longer receive any reminders.

Important Notes

  • Only the current license holder can initiate a transfer — for security reasons, licenses cannot be reassigned by another user.

  • You cannot transfer a license to a user who does not already exist in the system, or someone outside your organization.

  • If you attempt an invalid transfer, an appropriate error message will appear.

  • If the license holder is no longer with your organization, please contact Dual Code using the Help button in the bottom-right corner of the screen and explain the situation. After completing the necessary verification, Dual Code can transfer the license to you.

  • Transfers cannot be initiated for licenses purchased by users solely for their own enrollment.

  • Each license can have only one owner at any given time.

  • If the recipient doesn’t receive the transfer notification via email, they should check their junk or spam folder. Alternatively, they can go back to the learning environment where the course is hosted and click on the “Notifications” icon at the top of the screen.

  • If you made a mistake or changed your mind, you can cancel a pending transfer before it is accepted. To do so, go back to License Management and click the cancel icon beside the pending transfer.

  • All license transfers are logged in the system for audit and compliance purposes. These logs are only visible to Dual Code. If you have any questions related to a transfer, please contact Dual Code.
