Tracking Usage of my Licenses

When you purchase licenses for a course, you have access to a report that shows how many licenses were purchased, how many users enrolled in a course, and how many users completed the course. The report also provides the complete list of users who enrolled in the course using the license that you purchased.

  1. Go to the site in question (e.g. the site where you purchased the course)

  2. Click on “Purchase History” in the top menu.

  3. Click on the “More details” icon next to the purchase in question

Please note that you can only see licensing details for the purchases you made. In other words, you can not view this information for a course that was purchased by one of your work colleagues.

If you're looking for more advanced reporting features—such as tracking course completion or sending email reminders to users—consider subscribing to the HCE Workplace option. Designed for hospitals, long-term care homes, and other healthcare employers, this solution allows you to assign courses, monitor participation, and follow staff progress for training available through the OCI Marketplace.

Q: What learner data am I entitled to receive as the course license purchaser?

A: As the license purchaser, you are entitled to receive:

  • The enrollment date (when the learner began the course)

  • The completion date (if and when the learner completed the course)

These fields are available in a report that you can download yourself for compliance tracking and reporting purposes.


Q: Can I see their progress, quiz scores, or answers?

A: No. Personal learning data such as quiz scores, in-course progress, or question responses is considered sensitive educational information and is not automatically shared without explicit learner consent. If you require access to this information, consider HCE Workplace.


Q: Why do I get access to enrollment and completion dates?

A: You are entitled to this information because:

  • You funded the license, either individually or on behalf of your organization.

  • You need to verify whether the course was started and completed, which is a common requirement for compliance or certification tracking.

This limited sharing is consistent with Canadian privacy legislation like PIPEDA and MFIPPA, and does not violate learners’ rights when done with clear consent at enrollment.


Q: Is learner consent required before this information is shared?

A: Yes. Before enrollment, each learner is shown a consent message clearly stating that their enrollment date and, if applicable, completion date will be shared with the license purchaser. Learners must accept this condition to proceed with enrollment.


Q: Can I ask for more information if the learner gives consent?

A: Additional learner information may be available, but it depends on how the learner was registered and which platform you’re using.

If your organization uses Dual Code's Workplace solution, which is designed for hospitals, long-term care homes, and other healthcare employers, then additional reporting options may be available — including progress tracking, grades, and certificates — provided the learner gives explicit consent and your system is configured accordingly.

However, if the learner registered through My Dual Code (https://my.dualcode.com), these extended features are not available. My Dual Code is a public-facing platform primarily used by individual healthcare professionals who self-enroll in courses. It is a free, lower-cost option offered to organizations with limited budgets and does not include the full administrative and reporting capabilities of the HCE Workplace solution.

In summary:

  • ✔️ Workplace = full features (with consent)

  • My Dual Code = limited access, no detailed learner data beyond dates

Q: How can I confirm whether a learner has completed the course?

A: You will see the completion date in your report. If no completion date is present, the learner has not completed the course.


Q: What if I need more detailed records for regulatory compliance?

A: In most cases, the enrollment and completion dates are sufficient to prove compliance. If your regulator requires additional evidence, we recommend:

  • Having learners download and provide their certificate of completion, or

  • Collecting additional consent for more detailed reporting (available only in the HCE Workplace platform).

Q: Can I track users’ progress in free courses if I didn’t purchase a license?

A: No, tracking for free courses (where no license was purchased) is not available by default. However, this functionality is available through the HCE Workplace solution. With HCE Workplace, you can assign both paid and free courses to your staff, track their participation and progress, and send automated reminders—even for courses listed at no cost in the OCI Marketplace.
