Transferring a License

When a course is purchased, the license is assigned to a specific user within the organization. In some cases — such as staffing changes or when someone else needs access to reporting or reminder notifications — the current license holder may wish to transfer the license to another user.

Only the current license holder can initiate a transfer. For security and audit reasons, licenses cannot be reassigned by an administrator or taken over by another user without the license holder’s consent. If the license holder is no longer with the organization, the organization that purchased the course or you as an administrator can contact Dual Code to request a manual transfer.

If the current license holder is still with the organization, the Transferring a License article gives them the step-by-step instructions to follow to transfer the license.

If the license holder is no longer with the organization and cannot initiate the transfer themselves, the administrator can:

  • Click the Help button at the bottom-right of the screen.

  • Provide details of the situation, including the name of the course, the receipt # or license key (if known), and the usernames involved.

After verification, Dual Code can manually reassign the license to a new user within the same organization.

Important Notes

  • Each license can have only one owner at any given time.

  • Transfers cannot be made to users outside the organization or to users who do not already have an account.

  • Transfers cannot be initiated for licenses purchased by users solely for their own enrollment.

  • All license transfers are logged for audit purposes; these logs are maintained by Dual Code.

  • When initiating a transfer, the recipient receives a notification, and they must accept the transfer. If the recipient doesn’t receive the notification via email, they should check their junk folder or log in and check the Notifications icon in the learning environment.

  • If the license holder made a mistake, they can cancel a pending transfer before it’s accepted.
