What Happens After a Course Is Purchased

When a course is purchased, the process is fully automated—no action is required on your part as a system administrator. Both the system and the Dual Code team handle license activation, notifications, and access.

License Activation

Course licenses are activated once payment is received (Net 0):

  • If payment is made by credit card, the license is activated immediately.

  • If payment is made by cheque or e-transfer, the license is activated once funds are received by Dual Code.

Receipt and Notification

As soon as the license is activated, a receipt is sent to the purchaser using the email address on file.

  • If the purchaser is enrolling themselves, they are automatically enrolled and granted immediate access to the course.

  • If the purchaser is buying on behalf of others, they receive an email with instructions for distributing access to additional learners—either through an invitation link or a course key.

Enrollment Process

  • If the course was purchased via https://my.dualcode.com, learners must enroll using the invitation link provided in the email instructions.

  • If the course was purchased via Dual Code’s Workplace learning environment (used by hospitals, long-term care homes, and other healthcare organizations), learners can still use the invitation link. However, administrators are encouraged to add the course to an existing learning program and assign it to staff directly through their Workplace environment.
    This approach offers several benefits, including the ability to:

    • Assign courses to staff

    • Send automatic reminders for incomplete courses

    • Generate detailed compliance reports

Certificate of Completion

A certificate is automatically issued and emailed to the learner upon successful completion of the course, unless this feature has been disabled by an administrator or instructor.

Q. When is the course license activated?

A. Only the original purchaser receives the enrollment instructions. If another person needs the link or key, they must contact the purchaser directly. Dual Code cannot share access information with anyone else without written consent from the purchaser.

Q. What if someone other than the purchaser needs access to course tracking or reports?

A. A report is available to the original purchaser, who can view it online and download it to Excel. This report includes basic information such as the number of licenses purchased, how many users have enrolled, and how many have completed the course. Organizations using Dual Code’s Workplace platform have access to additional reporting tools, including the ability to create custom reports directly within their Workplace environment powered by Dual Code.

Q. What happens if the original purchaser has left the organization?

A. If the original purchaser is no longer with the organization, you can reassign the license to another user within the same organization.The new license holder will then have access to all related information, including the original quote, receipt, enrollment instructions, invitation link, course key, and report.

Q. Will learners receive a certificate of completion?

A. Yes. A certificate is automatically issued and emailed to the learner upon successful completion of the course—unless this feature has been disabled by your administrator or instructor.

Q. Can the system administrator do anything to speed up the process?

A. No action is needed from the system administrator. All steps—including license activation, notification, and access—are handled automatically by the system and the Dual Code team.
